Family organizer
Leah Brandvold, 41, keeps the paperwork for a family of five in Westerville, Ohio: her husband Marcus Adeyemi, their daughter Nora, the twins Eli and Ivy, and a beagle. Two cars and a mortgaged house. The hard part for an assistant is whose record is whose, in an account where the identity papers and the children's records are complete and almost everything else is a fragment.

| someone_elses | Five people each have an SSN and a passport. "My" means Leah's only. |
| someone_elses | The same holds for licenses, debit cards, prescriptions and the five frequent flyer numbers in one note. |
| someone_elses | The medical card's subscriber is Marcus; the dental and vision cards' subscriber is Leah. All three cover all five. |
| same_name | The twins share a birthday and a surname, their names differ by two letters, and their SSNs are consecutive. |
| same_name | The twins' tablets are one model with serial numbers one character apart and codes 3718 and 3781. Their student IDs are consecutive. Their birth times are eleven minutes apart. Every vaccination date is shared except the 6-month visit, which Eli had two weeks after Ivy. |
| same_name | The school portal holds both twins under one login and opens on Eli. The one page Leah saved from it is Eli's health page; nothing of Ivy's from the portal is saved. |
| expired | |
| expired | Old things left in the account next to current ones. The only picture of the Outback's insurance card is from the 2024-25 term (policy -01); no card is saved for the current -02 term. |
| expiring_soon | The twins' passports and the Outback's policy end within weeks of the build day. |
| expiring_soon | Fixed dates, so only soon when the data is built in the autumn of 2026. The Civic's registration ends 2026-11-02, the FSA card 2026-12-31, Eli's EpiPens in the autumn of 2026 (see the mismatch below). Nora's passport is good until 2027-03-18, which is less than the six months Nigeria asks for on arrival. |
| two_of_a_kind | "My car" is the Outback (Leah drives it), but the lookup tool cannot tell today. |
| two_of_a_kind | A current and a previous policy for the house and for the Outback, two debit cards on one account, two Wi-Fi networks. |
| near_duplicate | One paper saved twice. "Eli action plan 2025" is a scan of the whole page. "eli plan pic" is a photo taken in the allergist's office five days earlier, dark and with the bottom of the page out of frame: the antihistamine dose and the last handwritten instruction are missing from it. The scan is the one to use. |
| not_saved | The Civic has no insurance policy saved. Why: Marcus insures his own car with Granite Fork, the company the Outback left in 2024. It renews each January, the card is in his glovebox, and Leah has been asking him for the details since November 2025. The account holds only her open reminder and one line in a 2024 note. The car is insured; the account cannot show it. |
| not_saved | Marcus has no birth certificate saved. Why: the household has never had one. His parents took the family papers with them when they moved back to Lagos in 2009, and his passport has always served instead. He was born in Columbus, Franklin County, at Whetstone General Hospital (not the children's hospital), which no record says. The account holds only a September 2026 to-do to order a certified copy. The mail-in passport renewal does not need it. |
| not_saved | Marcus has no life policy of his own, only twice his salary through the district; the reminder has been open since January 2025. Neither of them has a signed will: the lawyer's 2022 draft of Leah's is saved, Marcus's matching draft is not, and they stalled on the alternate guardian. Marcus's W-2 comes on paper and goes straight to the accountant, so only Leah's 2025 W-2 is saved. His box 1 was $62,807.90, federal tax withheld $4,378, Ohio $1,454; none of that is in the account. |
| not_saved | Papers that exist only on paper. Short notes say where: tax returns and the AC invoice in the basement cabinet, the inspection report in the closing folder, the dog's adoption papers in the dog bin, the camp form in Nora's school folder, the dishwasher plan slip in the junk drawer; the car titles, marriage certificate, Social Security cards and yellow fever cards in the fire box; the original deed and the title policy in the safe deposit box. Never scanned: she photographs what a school or a clinic asks for and little else.

| not_saved | Sections she does not keep up. The mileage log has seven readings in eight years and stops in November 2024 for the Civic (78,420) and September 2025 for the Outback (48,690). Nine service receipts are saved out of about two dozen visits, with gaps of a year or two. Six electronics, seven bills and five warranties are there because something prompted her that day. A total or a "latest" taken from these sections is a floor or is stale: the Civic's newest odometer figure is on the August 2026 service receipt (93,610), not in the mileage log. |
| mismatch | Marcus's license still shows the Columbus address they left in 2021. The address is visible only on the picture of the license; the old lease (lease-tamsin) says what that address was. |
| mismatch | Eli's allergy is in many places in different words. The note of October 4, 2023 is the fullest: peanut, not tree nuts, Ivy clear. The scribble from the appointment says "PN 14.6", the visit record says positive for peanut and everything else negative, the prescription says "for the peanut allergy", the action plan says PEANUT, the ER-night note names the peanut butter frosting. The school portal page says "Peanuts, tree nuts". The allergist's finding is right: peanut only. The school's entry is broader than the diagnosis.

|
| mismatch | When Eli's current EpiPens expire. Leah's note and her reminder say 11/2026; the school portal lists the pen in the clinic as expiring 10/2026. Both pens came from one two-pack. Nothing in the account settles it (no picture of the box or the pharmacy label). The right answer gives both and says to look at the pens. |
| mismatch | Whether Nora is allergic to amoxicillin. Her chart has said so since a rash in 2017, and the immunization record and this year's inhaler form repeat it. In August 2026 the pediatrician said the rash may have been the virus and offered testing; nothing was booked. Nothing settles it. Forms should keep listing it. |
| note_contradicts_record | The Civic's last mileage reading (78,420, November 2024) is contradicted by the August 2026 service receipt (93,610 in its remarks and on its picture). The receipt is right; the log is stale. |
| only_in_note | Five facts that exist only in a note, as focused tests: Biscuit's microchip number (not on the rabies certificate or the vet invoice); the joint checking routing number and the account endings; the twins' student IDs (Nora's is also on her school papers); who the emergency contacts on school forms are, in what order, and who may pick the children up; where the birth certificates and passports are kept and the safe deposit box number. |
| only_in_note | Also only in notes, but not meant as tests of their own: everyone's blood type (a bare list with no heading), the frequent flyer and library card numbers, and the adults' yellow fever date (the children's is also in their vaccination records). Several notes cannot be fully interpreted by anyone but Leah: "78,500. asked 82. got 81" is her 2022 promotion, "locker 14, 22-8-30" is the pool locker, "envelope. hall table." is Marcus's passport renewal.

| only_in_file | The 1% wind and hail deductible ($4,120) is only in the policy declarations and the booklet; Leah's hail note says only "a percent". The booklet is the long document. Two of its clauses matter: the special limit of $1,500 for theft of jewelry (the ring, appraised at $6,800, was never scheduled), and the freezing clause (no cover for frozen pipes while the house is unoccupied unless the heat is kept on or the water is shut off and drained), which matters for sixteen nights away in December. |
| only_in_file | Cash to close ($37,773.28), the seller credit and "no prepayment penalty" are only in the closing disclosure. The escrow balance and late fee are only on the mortgage statement. The life policy's beneficiaries are only on its schedule. Marcus's cholesterol and A1c values are only on the lab report. Nora's grades and absences are only on the report card. The August 3 deadline is only in the school nurse's letter. The 2025 refund is only in the accountant's letter. The office and specialist copays are only on the picture of the insurance card. |
| only_in_file | The orthodontist's terms (a replacement retainer is $175, a missed appointment $40, the insurance figure is an estimate) are only in the contract. The lien release letter says what is left to do: take it and the title to a title office, and tell the insurer to drop the credit union as loss payee; nothing shows either was done. The guardian named for the children (Maren, alternate Tunde, unsettled) is only in an unsigned draft and has no effect. That Nora carries her own inhaler and the clinic has no spare is only on the school form. The 2025 mortgage interest ($9,123.12) and Leah's wages are only on the tax forms. |
| only_in_file | Hard file, a scan with no text: the recorded deed is a PDF whose page is a picture. The parcel number (080-011926-00) and the recorder's instrument number are nowhere else.

|
| only_in_file | Hard file, handwriting on a scan with no text: the antihistamine dose (Benadryl 12.5 mg = 5 mL), Eli's weight (55 lb) and "epi at the FIRST symptom" are written in by hand. The second capture of the same paper is dim and cut off above the dose. |
| only_in_file | Hard file, a field cut off: the EOB for Eli's 2023 ER visit was photographed with its right edge out of frame, and the right edge is the "amount you may owe" column. The truth is $638.00 in all ($250 copay paid at the visit plus $388 coinsurance billed later). Neither figure is anywhere in the account; only the $250 copay receipt is. The right answer is that it cannot be read, with a request for a better copy.

|
| only_in_file | Hard file, a faint copy: the rabies certificate is a pale carbon. Its certificate number (OC-24-003318) and the vaccine lot (RB3-20931) are only there; the tag number and the 2027 due date are also in the vaccination record.
Covered by q057
|
| only_in_file | Hard file, a screenshot of the school's website, saved under a name that says little. It is the only source for what the school has on file for Eli: that it wants a new action plan for 2026-27, and its own versions of his allergy and of the pen's expiry (see the mismatches above). It shows a moment, September 18, 2026, not today. |

Leah writes like someone running a household from her phone: short, practical, lower-case starts, few full sentences. Lists and reminders to herself. She abbreviates (appt, pedi, reg, w/), names the kid a note is about, and rarely writes about feelings except in the journal, where she is warmer and a little tired. Marcus never writes here; everything is in her words. Her mother's mother is Mormor, her parents are mom and dad (Nana and Papa to the kids), Marcus's mother is Mama and his late father Baba. Dr. F is the pediatrician, Dr. V the allergist. A note says what she needed at that moment and stops. She does not explain who people are.
