Two-country family

Yulia Zaretskaya (Me) · Fair Lawn, New Jersey · ru, en · as of Oct 6, 2026
Summary · persona.yaml

Yulia Zaretskaya, 40, born in Sverdlovsk (now Yekaterinburg), keeps the paperwork for a family that lives in Fair Lawn, New Jersey and still has half its life in Russia: her husband Pavel Zaretsky, their son Timofey ("Tim", 13, born in Yekaterinburg), their daughter Vera (8, born in New Jersey), a cat, and her mother Galina in Yekaterinburg. The adults are citizens of both countries. The hard part for an assistant is that every person exists in several spellings (Cyrillic, two passport transliterations, the American one), that husband, wife and children carry different forms of one surname, that there are two or three passports per person, that dates are day-first in Russian text and month-first in American text, and that questions and records come in two languages.

62019-06-14They buy the house on Larkmoor Terrace. In August Yulia buys the Highlander.

Planted traps · persona.yaml
spelled_differently Yulia is Юлия Зарецкая, Yulia Zaretskaya, ZARETSKAIA IULIIA, ZARETCKAIA IULIIA, ZARETSKAYA YULIYA and, on the diploma evaluation, Yuliya Lapteva. Pavel is Zaretsky, ZARETSKII and ZARETCKII. Tim is Timofey Zaretsky, ZARETSKII TIMOFEI, ZARETCKII TIMOFEI and Tim. Her mother is Мама, Галина Петровна Лаптева and LAPTEVA GALINA. Husband and son are Zaretsky, wife and daughter are Zaretskaya. Vera's birth certificate names her parents as Pavel Zaretckii and Iuliia Lapteva. Pavel's records show their owner as Паша, Tim's as Tim, the mother's as Мама. The closing statement, the payoff letter, the 1098, the mortgage statement, the car order and the old insurer's letter are all in the names they had before November 2022.
someone_elses Four SSNs, eleven passports for five people, licenses for two. "My" is Yulia's only, and "my Russian passport" is not "my American passport". Tim's asthma plan says "drug allergies: none known", which is true of Tim and not of Vera. The only blood group in the account is mama's. The only W-2 is Yulia's; Pavel's wages can be worked out from the accountant's total.
near_duplicate An old and a current Russian passport for each of three people, with numbers and spellings that differ. The home policy and its renewal differ by the last two digits of the number. Two letters from the Russian bank in one layout, a year apart. One inheritance certificate captured twice.
mismatch Two mortgage records, and neither says which is live: the Kittatinny record has a start date, a payment and no end. The payoff letter says that loan was paid in full on 2021-02-19, and the September 2026 statement is from Tolland Ridge. The files are right; the current loan is Tolland Ridge.
Covered by q030, q053, q063
expired Tim's Russian passport ran out on 2024-08-06 and is the one that blocks the trip. The rest are old papers kept for the numbers.
Covered by q002, q003, q004, q005, q006, q008, q010, q017, q024, q029, q030, q061, q062
expiring_soon Vera's passport, the Highlander's registration and the umbrella policy end within weeks of the build day.
Covered by q005, q006, q007, q014, q016, q024, q025, q062, q064
only_in_note Five facts are kept in a note and nowhere else, on purpose: her SNILS and INN (Russian); the routing and full account number of the joint checking account (other papers show only "ending 8256"); the two Global Entry numbers; the cat's microchip number; and where the original papers are kept (Russian). Everything else that used to be note-only now turns up somewhere else as well, in other words: Vera's allergy, mama's allergy and blood group, the internal passport, Tim's spellings, the children's height.
Covered by q022, q039, q041, q042, q043, q048, q067
only_in_file In the files and nowhere in the records or notes: the registry record number on Tim's Russian birth certificate; the surname clause, record number and apostille number in the translated marriage certificate; the naturalization certificate numbers and A-numbers in the lawyer's letter; the cadastral number and registry number in the inheritance certificate (the 1/6 share is stated only there, though an old note says papa's half was split three ways); the account number and balances in the Russian bank's letters; the hurricane deductible, the 1,500 dollar theft limit for jewelry and the one scheduled pair of earrings in the home policy; the list of documents for Vera's citizenship in the agency's memo; the vitamin D result; the exchange rate in the transfer confirmation; the refund in the accountant's letter; the outstanding balance on the mortgage statement; the price of the house and its tax block and lot in the closing statement; Tim's placement test score; the orthopedist's phone on the ER paper; the handwritten date of the second payment on the Russian school's contract; her wages and withholding on the W-2; the Mazda's VIN on the car order; the diploma's number; the roof's check numbers; the 2025 transfers one by one.
not_saved Vera has no Russian passport and no proof of Russian citizenship. Pavel has no birth certificate saved. No certificate of citizenship exists for Tim. For 2026 the transfers to mama are saved only from March; the screenshot covers 2025, so no total for 2026 can be given. There is no will. The page of mama's discharge summary that names the implant is missing. Nothing says the second hepatitis A shot was given, that the Mazda's plates were returned, or that Pavel flew to Haifa in the spring: each is a plan that stops. The newest bank letter gives the balance on 2025-12-31; the balance today is not in the account.
mismatch The pediatrician's immunization record prints Tim's date of birth as 09/04/2013. Every other record, including the asthma plan from the same office, says 9 April 2013 (04/09/2013, 09.04.2013). April 9 is right; the printout has day and month swapped.
Covered by q005, q006, q013, q017, q018, q024, q029, q033, q036
note_contradicts_record Mama's Concor (bisoprolol). The prescription record, the March 2024 note and the discharge summary say 5 mg. A note from June 2026 asks "Конкор по 2,5?? сама или Шамсутдинов - спросить Диму", and the reminder for the October visit still lists the question. Nothing in the account settles it. A good answer gives both and says the dose should be confirmed.
Covered by q037, q038, q060, q069
mismatch The Russian school's contract prints the second payment as due by 10 January 2027. A handwritten line beside the clause, initialled by the director, moves it to 23 January 2027. The handwritten date is the one in force.
Covered by q035, q059
note_contradicts_record Vera's hair colour for the passport form. The note says BLONDE with a question mark: the last passport said blonde and her hair has darkened. Nothing in the account settles it, and the note says to ask at the post office.
Covered by q005, q006, q007, q016, q024, q025, q064
two_of_a_kind Two cars. Yulia drives the Highlander, Pavel the Crosstrek. A third VIN, the traded-in Mazda's, is on the 2022 car order.
Covered by q014, q015

Missing · persona.yaml
- what: The two naturalization certificates, Tim's green card, the marriage certificate
with its apostille, the diploma, the internal Russian passport, papa's death certificate,
the deed and the Highlander's title.
why: 'She never scanned them. The certificates and the cards are in the safe, and
she was told not to copy or laminate the certificates more than needed; the Russian
papers are in her mother''s sideboard in Yekaterinburg. One note says where everything
is. The numbers of the naturalization certificates reach the account only through
the lawyer''s closing letter, and the internal passport only through a note and
the inheritance certificate, which quotes it.

    '
- what: Pavel's birth certificate, his W-2, anything in his hand.
why: He never opens the app. His birth certificate is with his parents in Haifa,
and he forwards his W-2 to the accountant himself.
- what: The tax returns for 2024 and 2025.
why: The accountant keeps them. She saved his summary letter for 2025 and her own
W-2 and 1098; for 2024 she saved nothing.
- what: Transfers to mama before March 2026, except one large one in 2024 and December
    2025.
why: 'She started saving each confirmation only when the accountant asked, in March
2026. For 2025 there is a screenshot of the transfer site''s history, made for
him in February 2026. January and February 2026 are in neither. Nothing in the
account says whether October 2026 has been sent.

    '
- what: Page 2 of mama's discharge summary, with the operation and the implant.
why: Dima scanned the summary at work and sent what came out. The page with the
implant is not in the file, and the implant passport is with mama.
- what: Most vaccinations as records, mileage between services, most fields on cards,
    policies and gadgets.
why: The papers are saved as files, and she does not retype what a file says.
- what: Anything Russian for Vera.
why: Her Russian citizenship was never registered. That is what the trip paperwork
    is about.
- what: A will, a certificate of citizenship for Tim, the second hepatitis A shot,
    the old Mazda plates.
why: Meant to, never did. The reminders and notes about them are still open or simply
    stop.

Yulia writes to herself the way a Russian-speaking immigrant talks at home: Russian sentences with English words for American things, often spelled in Cyrillic (апойнтмент, иншуранс, копей, рефил, праймари, таун, моргидж, таксы, плейдейт, пикап), and the proper names of American things left in Latin (MVC, PTA, W-2, E-ZPass, Costco). Notes about work and most notes about school are fully in English, competent and a little formal, with an occasional missing article. Notes about her mother, her late father, Russia, money sent home and anything emotional are fully in Russian. She writes dates day first with dots in Russian text (05.03.2024) and month first with slashes in English text (3/5/2024), and sometimes forgets which one she is in. She calls her husband Паша, her son Тим or Тимоша (Tim in English), her daughter Вера, Верочка or Верунчик, her mother мама, her brother Дима, her mother-in-law Людмила Борисовна. Short lists, measurements, things to buy, things to bring to Russia. CAPS for what must not be forgotten. Little punctuation in short notes, full sentences in the journal. The journal is almost all Russian: warm, tired, ironic about American bureaucracy and the Russian one alike, homesick mostly for people, worried about her mother living alone. Dreams are short and usually set in her parents' apartment or the dacha. Pavel never writes here.
